Documents Needed to Rent an Apartment

I have prepared these guidelines to help you prepare for the most landlord/tenant situations in NYC. I would advise you to gather most or even all these documents before you start looking for an apartment. I've seen people lose apartments because they were gathering their documents at the last minute.

In addition to earning an annual income of at least 40x the monthly rent, (40 x month's rent = approximate income), (sometimes this amount can be combined with a shared roommate or couple), Some outer borough landlords may start at 35 times the minimum. Property owners require a credit check ($30 - $100) per applicant as well as other documentation and a deposit to take it off the market. Deposit generally start from $500 up to the month's rent.

If you don't qualify financially, then you would need a co-signer/guarantor who makes 80 times the rent (80 x monthly rent = approximate income).

If you don't earn 40 times the rent nor have a co-signer / guarantor, nor have the best credit, Log onto www.insurent.com to guaranty your lease. They do charge a minimal fee, but well worth it if you don't have another option. * Not all landlords accepts Insurent, so check with me first to verify. 

If you suspect credit blemishes will pop up, please discuss this with me beforehand as I can often smooth this over with the property owner for you.

Not all property owners require all of these documents. However, given the competitive nature of NYC renting, you should have these handy while apartment hunting. Typically, the owner will expect you to take occupancy no longer than two weeks after submitting an application.

1. Employment letter on a company letter head stating salary, position and length of employment

2. Three most recent consecutive pay stubs

3. Current month Bank statement (First page)

4. Most recent tax returns (First two pages)

5. Letter of reference from previous landlord (if applicable)

6. Legible copy of ID

 7. If self employed, A letter from your CPA stating previous and projected earning

8. Very few will ask for resume or Bio

When your application is approved, you will need to bring separate certified checks or money orders for the 1st month's rent, security deposit and broker fee / unless waived to lease signing. If renting in a co-op or condo be prepared for move in/move out charges assessed by the board as well as additional personal documentation.

Most property owners will offer a one year lease. Two year leases are sometimes possible but often at a slightly higher rent as you are locking in for a longer period. Again, I can help with negotiations.

Broker fee is 15% of the annual rent (monthly rent x 12 x 15% = Broker's fee) The fee can be reduced or waived ONLY if the landlord pays an incentive towards the fee.

What information do we collect?

We collect information from you when you fill out a form.

When submitting an application on our site, as appropriate, you may be asked to enter your: name, e-mail address, mailing address, phone number, credit card information or social security number.

What do we use your information for?

Any of the information we collect from you may be used in one of the following ways:

• To process applications for apartments and charge money for application/credit check fee transactions or deposits
Your information, whether public or private, will not be sold, exchanged, transferred, or given to any other company for any reason whatsoever, without your consent, other than for the express purpose of applying for the property stated on the application.
Do we disclose any information to outside parties?

We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information. This does not include trusted third parties who work for management who assist us processing the application(s), conducting our business, or servicing you, so long as those parties agree to keep this information confidential. 

* Deposits will secure an apartment and place you in first position with my company. We are not responsible if the landlord rents the apartment before we submit the deposit and application. If the apartment is rented before we submit your application, you will be fully refunded.
